The easiest way to use a template is to double-click it in Explorer - while saving your presentation, Microsoft PowerPoint will prompt you to save it as a regular new presentation. Alternatively, you can open a template using PowerPoint's File | Open dialog box. For a more permanent and elegant usage, look below for instructions to create a PowerPointed templates tab within PowerPoint's 'New Presentation' dialog box.
Create A PowerPointed Template Folder
PowerPointed 2003: Create a sub-folder called 'Powerpointed' within your C:\Documents & Settings\<UserName>\Application Data\Microsoft\Templates folder and copy all your PowerPointed templates (*.pot) to this folder. Your folder location and drive may differ if you installed your operating system to a custom location - if that's the case, run PowerPoint 2002 and open any presentation. Choose File | Save As... and choose 'Design Template (*.pot)' in the Save as type drop down list. PowerPoint will automatically change the save location of your template - make note of this folder location and create a sub-folder within this folder called 'PowerPointed'. Copy all your PowerPointed templates to this folder.
PowerPointed 2002/XP: Create a sub-folder called 'Powerpointed' within your C:\Windows\Application Data\Microsoft\Templates (for Windows 95/98/ME) or C:\Documents & Settings\<UserName>\Application Data\Microsoft\Templates (for Windows 2000/XP) folder and copy all your PowerPointed templates (*.pot) to this folder.
PowerPoint 2000: Create a sub-folder called 'Powerpointed' within your C:\Windows\Application Data\Microsoft\Templates folder and copy all your PowerPointed templates (*.pot) to this folder. Your folder location and drive may differ if you installed your operating system to a custom location - if that's the case, run PowerPoint 2000 and open any presentation.
PowerPoint 97: Create a sub-folder called 'PowerPointed' within your C:\Program Files\Microsoft Office\Templates folder and copy all your PowerPointed templates (*.pot) to this folder. Your folder location and drive may differ if you chose a custom installation folder - if that's the case, run PowerPoint 97 and open any presentation. Choose File | Save As... and choose 'Presentation Template (*.pot)' in the Save as type drop down list. PowerPoint will automatically change the save location of your template - make note of this folder location and create a sub-folder within this folder called 'PowerPointed'. Copy all your PowerPointed templates to this folder.
You can apply a template to any new or existing presentation to instantly change the look of your presentation.
PowerPoint 2002/2003: Open an existing presentation and choose Format | Slide Design. This will activate the Slide Design task pane which will display thumbnails of existing templates if you followed instructions above to create a PowerPointed template folder. Alternatively, just click the Browse... button on the bottom of the pane and navigate using the familiar 'Apply Design Template' dialog box and choose your PowerPointed template (*.pot) file.
PowerPoint 2000: Open an existing presentation and choose Format | Apply Design Template. Navigate with the resultant dialog box to your PowerPointed template (*.pot) file.
PowerPoint 97: Open an existing presentation and choose Format | Apply Design. Navigate with the resultant dialog box to your PowerPointed template (*.pot) file.
Use Multiple Templates In A Presentation
You can use multiple templates in a single presentation if you use PowerPoint 2002/XP/2003 or higher. Presentations with multiple templates applied show up and play with multiple templates in PowerPoint 2000 (and PowerPoint 97 to some extent) as well, although that version does not allow you to use multiple templates natively.
Open your existing presentation and choose Format | Slide Design. This will activate the Slide Design task pane and show thumbnails of your existing templates. Again, you might want to create a separate 'PowerPointed' folder within your PowerPoint templates folder to see thumbnails of PowerPointed templates - instructions given above...
Change your presentation view to Slide Sorter view and select individual slides for which you wish to apply any design template. Use the Ctrl and/or Shift buttons to select multiple slides.
With your slides selected, click the thumbnail of the template in the Slide Design task pane to apply the design to the chosen slides. If all thumbnails are not visible, you can click the Browse... button on the bottom of the pane and navigate using the familiar 'Apply Design Template' dialog box and choose your PowerPointed template (*.pot) file.
Note: If you have disabled your Multiple Masters options using Tools | Options | Edit | Disable New Features, you might not be able to follow the steps detailed above.
Most template backgrounds are intended for projector or screen display and may not print well - in addition large expanses of colored backgrounds will result in shortening your printer cartridge life. To counter these disadvantages, each template set includes a separate print background slide that contains a large area of white along with a patterned edge that matches your template. To use these print backgrounds. go to Slide Sorter view and choose the slides you need to print - use the Ctrl and/or Shift buttons to select multiple slides. Thereafter, choose Format | Background and click the down arrow to select the Fill Effects option. In the resultant Fill Effects dialog box, choose the 'Picture' option and navigate to the print background (usually, the 3rd background file in the downloaded template archive) and click 'OK'. Click 'Apply' in the next dialog box and print as required. If you don't want to overwrite the original presentation file, you might want to save this print-intended presentation under a new name or print without saving.
PowerPoint assumes that you don't want to print slide backgrounds when you print in black and white mode. You can workaround this limitation by inserting your background as a picture rather than as a background. To do that, choose Insert | Picture | From File and navigate to your chosen background. Resize the picture to fit your entire screen and choose Draw | Order | Send To Back (in PowerPoint's Draw toolbar) so that any text or objects within the slide can show with the picture in the background. With the picture selected choose Edit | Copy and then Edit | Paste in other slides as required. You might have to choose Draw | Order | Send to Back again. Repeat as required for each slide.
